Why WhatsApp BUSINESS (not regular WhatsApp)?

WhatsApp Business is a FREE separate app with extra features for organizing patient records: Labels to tag patients, Away messages so patients know not to expect replies, and Starred messages to quickly find medical notes.

PART A One-Time Setup (Do This Once - 10 minutes)

Download WhatsApp Business

Go to your app store and search "WhatsApp Business" (green icon with a "B"). Download and install it.

Important: This is a separate app from regular WhatsApp. You can use both on the same phone.

Set Up Your Account

Use a phone number for your clinic (can be a second SIM or your main number). Complete the setup wizard.

Create an Away Message (IMPORTANT)

This tells patients not to expect medical advice via WhatsApp.

a Open WhatsApp Business → tap the 3 dots (top right)

d Type this message:
"This account is for sending medical reports only. We do not monitor messages for medical questions. For emergencies, please visit the nearest emergency room."
e Set schedule to "Always send" → tap Save

Create Labels for Organization

Labels help you find patients by category.

a Long-press any chat → tap the Label icon (tag)
b Tap "Create new label"
c Create these labels (or customize for your specialty):

Generate Your Note in CDA

Record your consultation, click First Visit or Follow-up, and generate your medical note as usual.

Share the Note to WhatsApp

Click the 📤 Share button in CDA, then select WhatsApp Business.

Why Share instead of Copy? Copy loses rich text formatting. Share sends clean plain text with ALL CAPS headings.

Select Patient and Send

b Search for and select the patient's chat
c Tap Send

Star the Message (IMPORTANT)

This lets you find medical notes quickly later.

a Long-press the message you just sent
b Tap the Star icon

Star ONLY medical notes, not casual messages. This makes them easy to find.

Add Labels to the Chat

a Go back to chat list
b Long-press the patient's chat
c Tap the Label icon and select relevant labels (e.g., "Follow_Up", "DM")

Done! Patient has their record. You have a searchable, organized copy.

Why Google Keep?

Google Keep is a FREE note-taking app that syncs across all your devices. If you have a Gmail account, you already have Google Keep. Notes are searchable and can have labels for organization.

Get Google Keep

  • Phone: Download "Google Keep" from App Store or Play Store
  • Computer: Go to keep.google.com

Sign in with your Google/Gmail account.

Create Labels for Organization

Record your consultation, click First Visit or Follow-up, and generate your medical note.

Copy the Note

Click the Copy button in CDA.

Create a New Note in Google Keep

a Open Google Keep
b Tap the + button to create a new note
c In the Title, type: Patient Name - 0123456789 (their mobile number)
d Paste the medical note in the body

Add Labels

a Tap the 3 dots (bottom right of note)
b Tap Labels
c Check the relevant labels (e.g., FirstVisit, DM)

Set a Reminder (Optional but Powerful)

Need to follow up with this patient?

a Tap the Bell icon 🔔 on the note
b Set the date for follow-up
c The note will appear in your Google Calendar!

PART C Finding Patient Records (When They Return)

Search by Name or Phone

  1. 1. Open Google Keep
  2. 2. Tap the Search icon 🔍
  3. 3. Type patient name or phone number
  4. 4. See all their notes!

Browse by Label

  1. 1. Tap ☰ menu
  2. 2. Tap a label (e.g., "Pending")
  3. 3. See all patients with that label

Option 3: Apple Notes

For iPhone + Mac Users (Syncs via iCloud)

Why Apple Notes?

Apple Notes is already on your iPhone and Mac. Notes sync automatically via iCloud, so you can view patient records on any Apple device. It has good search and supports hashtags for organization.

Enable iCloud Sync

a Go to Settings → tap your name at top
b Tap iCloud
c Make sure Notes is turned ON

At the end of the note, add hashtags:

These make the note searchable by condition or visit type.

Why Samsung Notes?

Samsung Notes is pre-installed on Samsung phones. It syncs via Samsung Cloud to your Windows PC (Samsung Notes app). If you have an S-Pen, you can even annotate notes.
